Staff Resources Database Project
Communication & Network Services (CNS) tracks a variety of information about employees including:
- University property issued to the employee, for example cell phones.
- Non-physical items including authorizations granted, for example building access codes and logins.
- Certifications, for example completion of sexual harassment prevention training.
CNS employee information is maintained in variety of individual data stores including:
- Access databases
- Excel spreadsheets
- Text documents
A project was undertaken to add the following features to the CNS employee information profile:
- Provide a web-based, centralized data store to enable comprehensive and controlled maintenance and presentation of employee information.
- Add integration and coordination with employee activity such as HRMS hires and terminations.
- Enable integration of CNS-maintained information with data residing in HRMS.

Critical Success Factors for the project include:
- Automation of resource tracking in CNS to increase the efficiency of, and reduce errors associated with, the assignment, tracking and recovery of resources for hires, terminations and other transition events in HRMS.
- Ensuring each new hire/transfer has 100% of the needed resources on first day of work, as requested in the new hire checklist.
- Maintainance of Staff Resources data such that the database accurately reflects all tracked resources assigned to an employee.
- Recovery of all resources or removal of accesses assigned to a departing employee.
- Reduction of the number of existing shadow systems by at least 50% by tracking required data elements in the HRMS Staff Resources module.
- Having other campus departments using the HRMS Staff Resources module to track resources assigned to their staff.
